Getting Started: Create Your Task Plan

Creating a Task Plan is the first step in streamlining how training needs are collected and reviewed. Here’s how it works:

1. Define Your Budget 

Start by deciding if your Task Plan includes a budget. If so, choose how it will be managed:

  • At the Organizational Unit (OU) level

  • At the Manager level

This decision impacts how costs are tracked and who has visibility and responsibility during the approval flow.


2. Set the Timeline

Each plan has its own date criteria, defined in the creation of the plan. There are three key periods:

  • Budget Setup Period – when budget information is established (if applicable)

  • Planning Period – when training needs are submitted and gathered

  • Execution Period – when approved trainings are delivered (e.g., in Cornerstone OnDemand)


3. Configure Automated Email Notifications

Our built-in email service helps you keep users informed:

  • Notify end-users of newly assigned trainings

  • Alert approvers about needs requiring validation

  • Customize templates to match your internal language and communication

You can enable or disable this feature according to your preferences.


4. Define Your Population and Workflow

This is where your plan really takes shape. Choose:

  • Who the target users are

  • Who can contribute training needs

  • Who must approve those requests

Scenario 1 – Manager and L&D-Driven Planning

Contributors: Managers and L&D
End-users: Cannot submit needs
Use Case: Top-down planning approach
In this setup, employees receive training assignments created by managers or L&D. End-users cannot submit their own requests.


Scenario 2 – Collaborative Needs Gathering

Contributors: End-users + Manager + L&D
Workflow: End-user requests → Manager approves → L&D validates
Use Case: Most common model
This balanced approach encourages employee input while maintaining oversight through a two-step approval process.


Scenario 3 – L&D Centralized Control

Contributors: L&D only
Managers: View-only access
Use Case: Centralized planning with transparency
L&D assigns training needs directly to users. Managers can monitor but not intervene in the plan creation.

Training History Alerts

Enable warnings when a training has already been completed by a user. You’ll have the choice to reassign or skip the training based on past completion.

Fine-tune what each profile (e.g., L&D, Managers, End-users) can see, do and edit — ensuring that access aligns with responsibilities.

They do not have access to:
