💰 Follow Up Budget Execution During Planning Period
1. When does the Budget Setup phase end?
The Budget Setup phase ends when the Budget Setup period — as defined in the task configuration (in Date Criteria) — concludes.
After the budget setup phase, the budget becomes read-only.
2. Who can view the budget after the setup phase?
Once the Budget Setup phase is complete, the following users can access (but not edit) the budget:
-
Administrator
-
Task Plan Creator
-
Users with the Task Plan Admin role, if permitted for that specific plan
-
L&D users – Can view the budget for all Organizational Units (OUs) within their segment
-
Managers –
-
View budget for their own OU (if configured at manager level)
-
View budget for their subordinates’ OUs (if configured at OU level)
-
🔒 Note: End-users do not have visibility into any budget information.
3. What information is available in the budget view?
Users with access can view:
-
Budget Setup – The budget initially defined for each OU or manager level
-
Budget Used – The amount already committed to planned training needs in the task plan
These values are displayed side by side for easy comparison.
This provides transparency on how much of the budget has already been used.
4. What if the budget is set at the manager level?
If the budget is configured at manager level, a ‘Managers’ tab becomes available.
This tab displays the defined budget and actual costs for each manager level.
5. Can the system alert me if the budget is exceeded?
Yes. You can configure your budget in two ways:
-
Restrictive: The budget cannot be exceeded.
-
Indicative: The budget can be exceeded, but the system will display a warning message when an assignment would exceed the budget.
For indicative budgets, cells where the budget is exceeded will be highlighted in red for easy identification.
