Association of Courses
❓ What is course association?
Course association is the process of linking a planned course (training need) with a different executed course, typically when the executed course differs from what was originally planned.
When transcripts are imported from Cornerstone (CSoD), they are automatically matched with planned courses based on the training ID.
However, sometimes, the executed course differs from the planned one (e.g., planned “EN Course A” but executed “EN Course B”). In such cases, users may manually associate the planned training to the executed course if no transcript is already linked.
❓ When can a planned course be associated with an executed course?
A planned course can be associated with an executed course only under specific conditions:

The transcript for the planned course is in progress |

The transcript for the planned course is completed |

⚠️ Once the transcript for the planned course is in progress or completed, no new association is allowed.
⚠️ Important: The ‘Associate’ button is only visible when the option “Include all executed trainings” is selected in the Task Plan Execution tab.
⚠️ Attention: In the case of events, the association process only considers the event, not its individual sessions.
❓ Who can associate a planned course with an executed course?
Only the following users can perform this action:

Task Creators
-
Users with permission (if Task Creation Admin)
-
Admins and L&D users
🔄 How to Manually Associate Two Courses
Follow these steps to manually associate a planned course with an executed course:
1. Click the ‘Associate’ button

Go to the “Action” column (last column on the right) of the planned course row.

Click on ‘Associate’.
⚠️ Visible only if “Include all executed trainings” is selected in the Task Plan Execution tab.
2. Select the executed course
A left sidebar opens.
In the section “Select course to associate”:

You can search among all executed courses in the Task Plan Forecast period.

The list is filtered to show only:

Courses executed by users who were assigned the planned course but did not execute it

⚠️ If no course appears as available to be associated it means that for the selected planned course there are no users who executed an unplanned course.
3. Select users to associate
In the section “Select users to associate”:

You’ll see the list of users who:
-
Were assigned the planned course
-
Did not execute it
-
But did execute the selected executed course (from Step 2)

4. Confirm the association

Press the ‘Associate’ button at the bottom of the sidebar to confirm.
✅ What happens after association?

A new line will appear in the table:

Showing the planned course, the executed course it’s now associated with, and the number of associated users

The original planned course row will reflect the updated number of allocated users (excluding those now associated with the new course).

This new association line remains visible at all times, regardless of whether the “Include all executed trainings” checkbox is selected.
